Congratulations on becoming the new Social Chair of the IEEE Student Branch at the University of California San Diego!

What to know

Under ‘#events’ channel → ‘Event Requirement’ tab has most of the important links to host events

  1. IMPORTANT SLACK MESSAGES
  • #events: Look out for messages from your Event Coordinator for event deadlines - this is the single most important notice for you to consider as you plan future events.

  • #social: will contain most news pertaining to social chairs

→ feel free to look back on the chat history for a source of inspiration for events!

  • #announcements: may contain wider-IEEE messages that can inspire/affect social events

  • #marketing: collaborate to ensure adequate and appropriate promotion is done for your events!

  1. ONBOARDING INFO TO BE ADDED
  • BE PROACTIVE IN YOUR PLANNING
  • events need to be booked 6-7 weeks in advance (EXCLUDING quarter breaks)
  • finer details have to be finalized as well (room bookings, conceptual food invoice) to allow Event Coordinators to fill TAP forms on time!
  • ORGANIZE MARKETING DIGITAL/PHYSICAL POSTERS FOR YOUR EVENTS
  • includes following up with the marketing team to ensure posters are completed → posted online

=> the ideas of planning social events are almost limitless, we recommend you organize them in variety to tailor to as many people and create unique and memorable experiences!

  • collaborate with DEI organizations to promote engineering awareness!
  • feel free to reach out to different departments within UCSD to spice up your events!
  • OFFICER-ONLY SOCIALS!
  • look to arrange a few officer socials to get to know your team better!
  • ROOM BOOKING AND FOOD INVOICE DETAILS
  • When filling out the Events Form, there will be a section that asks you for a food invoice and event booking section
  • Food Invoice: First check out the list of AS funded vendors and decide your order based on the number of expected attendees. You can either choose to call the restaurant and have them prepare an invoice for the food items in advance or have an online cart ready for checkout with the date of purchase ready to be attached as a screenshot on the events form.

TRADITIONS TO CONTINUE?

  • BroomBall (around Winter Quarter)

One of the biggest traditional social events held by the IEEE collaborating with other student orgs in the Ice Rink at UTC - look out for a discord server is usually formed in coalition with other student organizations though you may wish to contact your VC Events to clarify.

  • Animal Conservation Volunteering

We usually host animal-care volunteering social events (cat shelters as of late), where we meet participants and travel together using the bus/trolley to centers to aid in revamping the place while playing with the animals- a win-win!

  • Engineering Formal (spring quarter)

Collaborate with other Engineering orgs on campus to plan the Engineering Spring Formal. This is done one campus and generally requires intense planning to ensure a smooth event for a large crowd of engineering students that helps bring the school year to a close!
